Getting Started with DancePass

How can dancers register?

  • The most common reason is that the email address was typed incorrectly. You can check this in the Dancers menu.

  • If the email address is incorrect, ask the dancer to register again with the correct one.

If the address is correct and the email is not in the spam folder either, contact the DancePass team and they will help resolve the issue.

Sharing the schedule or events via link

Go to the Attendance Sheets menu and click on the relevant class.

In the top-right corner, click the small arrow next to the Register button. This will reveal the New Guest option.

Click it to register the guest.

Creating groups

To create them, go to the Groups menu and click the “Create new group” button.

You’ll need the following information:

  • group name

  • schedule (can be multiple times per week)

  • start date (if not starting immediately)

  • instructor’s name

  • administrator (if you have a receptionist)

  • location

  • open (anyone can apply, visible on profile) or closed (only admin can modify)

  • limit: maximum number of participants in the group or class

  • which types of passes to allow

I would like to set a capacity limit per class as well. How can I do this?

For this, make sure your group type is set. It can be a mixed, men only, women only or couple class. If the type is couple class, the limit will be split 50-50% between men and women.

What is the difference between monthly, single-use, and combined passes?

  • Monthly pass – Valid from the first to the last day of the month.

  • Single ticket – Valid until midnight of the given day.

  • Occasion-based pass – A set number of entries (e.g. 4-6-8), tied to a specific group, with custom validity.

  • Combined pass – Occasion-based pass valid across multiple groups.

  • Unlimited pass – An unlimited-use version of the occasion-based or combined passes.

  • Don’t forget to set which group’s classes they’re valid for! This can be edited in the Pass Types and Groups menus.

How can I give access to my teachers?

After registration, any school leader or admin can assign Teacher permissions to them in the Dancers menu.

If you assign a teacher to a group in the Groups menu, they’ll automatically see their classes in the Attendance Sheets.

Teachers don’t need to join the group or register for classes.

Can students be uploaded in bulk?

Yes, just reach out to us at info@dancepass.eu

How can I download the mobile app?

Search for DancePass in the app store.


Registration

Sign in with Gmail

Dancers can register with Gmail, without creating a password.

I accidentally deleted a dancer. Can it be restored?

Yes, please open a Data request in the Help Center main page.

My dancer did not receive the registration email. What could be the problem?

The most common reason is that the email address was typed incorrectly. You can check this in the Dancers menu.

I would like to register a guest. Where can I do this?

Can I set the language in which the student receives emails?

Yes, when you invite them you can select the language.

What is the difference between a guest, teacher, and dancer?

Dancers cannot see the administrator side. Teachers can only see their own classes while studio owners can see everything.

Class Administration

How does Flash Check-in work?

A Villámbelépés egy gyors jelenlét-ellenőrzési funkció.

I purchased the wrong pass for a dancer. How can I delete/modify it?

A Bérletek menüpontban legfölül látod a legutóbb vásárolt bérletet. Nyisd meg és töröld ki a kis kuka ikonnal. Ezután menj vissza a Jelenléti ívbe és vásárold meg a megfelelő jegyet/bérletet.
Ha online vásárolt a bérlet, vagy nyugtát küldtünk róla, akkor a Jóváírás funkcióval jóvá tudod neki írni a bérlet árát, és ezt a következő vásárlásakor automatikusan levonjuk a végösszegből.

I would like to register a guest. Where can I do this?

A Jelenléti ívek menüpontban kattints az adott órára. Jobboldalt felül a Jelentkező gomb melleti kis nyílra kattintva megjelenik az Új vendég gomb, erre kattintva tudod regisztrálni a vendéget.

Can I restrict registration for a class by gender?

Először add meg az óra típusát, majd állítsd be a maximális létszámot. A jelentkezési sorrend alapján telik fel a csoport, később a limit módosítható, illetve várólista is használható.

I would like to be notified when someone registers for my class. Where can I set this up?

Az adott csoport beállításainál pipáld be az "Értesítés jelentkezésekről" opciót.

Passes & tickets

From when does a sold pass become valid?

From the time of the first use, or if the dancer had unpaid classes in the past, it will be valid from the first unpaid class. You can check this in the Passes menu. 

Can passes be sold in advance without a class?

Yes, from the Dancers menu.

I purchased the wrong pass for a dancer. How can I delete/credit it?

From the Passes menu. Passes purchased online can only be reimbursed as credit.

How can I delete a pass purchased online?

From the Passes menu. Passes purchased online can only be reimbursed as credit.

One of the passes changed its validity period automatically. Why did this happen?

Passes are valid from the time of the first use, so if the dancer canelled thair application and started using the pass at another class first, the expiry date will change as well.

Where can I modify the prices of passes?

In the Passtypes menu.

Can I move a started pass to another group?

No, but you can reimburse or delete the incorrect one and buy a new one. 

I no longer need a pass/ticket type. How can I delete it?

First set it to inactive, this will block people form being able to purchase it. Once all related passes are expired (give it 1-2 weeks), you can delete it for good.

Cancelled Classes / Course End

One of my classes will be cancelled. How can I cancel it?


You the cancel button in the Attendance sheet view.

One of my courses is ending permanently. How can I handle this?

In the Groups menu modify the End date of the class.

A class is cancelled and I would like to reschedule it to another time. Is this possible?

Yes, simply move it in the calendar view. Your dancers will be notified via email.

How can I pause my groups? 

In the Groups menu modify the End date of the class. Do not you class cancellation for more than 1-2 classes as this will results in many emails spamming the dancers.

I would like to extend still-valid passes. How can I do this?

Yes, in the Passes menu, select the passes you want to change and click Modify.

Reports

What appears in the reports?

The reports menu currently only shows group classes, but not private classes or events. 

Who can view the reports?

Only studio owners

Private classes

How can I create a private lesson?

Click on an empty spot in the calendar to create a new private class.

Can dancers book their own private lessons, or can only admins create them?

Not yet.

Where can I see all my private lessons and their related revenues?

This is not yet available, but is planned

How can I add multiple participants to a private lesson at once?

Yes, when creating the class you can add more than 1 dancer.

What happens if I cancel a private lesson that was paid online?

Reimburse them in Stripe and send us a request to delete the class.

Events

How can I create events?

Your can create events from the Step-up subscription and up. What our training video in the DancePass Academy for detailed guidance.

Where can I find the answers to custom questions?

You can export them from Events-> Applicants, at the bottom of the page.

When is it recommended to choose a QR code event?

Events over a 100 people, galas, festival and anywhere were tickets need to bematched by name.

My dancer would like to modify their registration. Where can I do this?

Use the Modify option in the Applicants view of the Event.

How can I set early bird prices?

Turn on online payment. Then you can create Early bird tickets and limit them by date.

Newsletters & MailPass

How do I use MailPass?

Why can’t I access MailPass?


MailPass is a separate monthly subscription. If you would like to turn it on, please reach out to us.

Where can I see who is subscribed to my newsletter?

Navigate to MailPass and open the Contacts page.

I would like to add my own contacts to the mailing list. Where can I upload them?

Yes, but make sure to create a new list in MailPass/Contacts. Do not modify the automatically generate list.

Online Purchases & Stripe

Registering with Stripe

  1. Click the Stripe registration link we sent.

2. Enter your email address to create your Stripe account.
Set up two-factor authentication: scan the QR code with an authenticator app and enter the 6-digit code you receive by email or SMS.
Provide your personal details: name, address, and phone number.
Upload an ID document.
This can be done later, but it becomes mandatory above a certain payout amount, so it’s recommended to complete it during registration.
Scan the QR code to open Stripe’s camera on your phone, photograph both sides of your ID, and take a selfie.
Enter your business details: studio name, website, and a short description of your activity.
Add your bank account (IBAN) where payouts will be sent. You can find your IBAN in your online or mobile banking app.
Provide a statement descriptor (for example: dance classes).
Environmental contribution: optional, you can skip it.
Stripe Tax: optional, you can skip it.
Finally, review your details and complete the registration.

Some registrants appear as “not paid” in the list, even though only online payment is enabled. Why?

Sometimes people leave the registration process unfinished, without payment. If they do not conclue it 24 hrs, their application will be deleted.

How does the dancer know that the registration and payment were successful?

  • Yes, they receive an email.

How long does it take for Stripe to pay out the revenue from events?

Minimum 7 days, and you can set up the frequency of the payments in Stripe.

My dancer cannot attend the event after all. Can I refund their ticket?

You can reimburse them in Stripe.

My guest paid online, but I cannot see it in the app and they did not receive an email. What is the issue?

If there is a delay longer than 30 minutes, please open a ticket to us.

Issuing receipts for cash payments 

DancePass can send automatic invoices for cash payments as well. To turn this on, please reach out to us.

Transaction fees

DancePass transaction fee:

 1% per transaction (0.5% without QR codes)

Stripe transaction fees:

1.5%+ €0.25 for EEA cards

Invoicing: 0,4% per transaction.
